Your mission
General objective of the job
The Project Administrative Assistant assists in the overall implementation of the project.
 
Position in the organization
The Project Administrative assistant is part of the Program Implementation Department reporting to the Project Coordinator. S/he does not manage staff. 
 
Result areas
Organization, Coordination and Management
  • Organizes training, seminars, project opening ceremonies, hosting donors and participants visits, site inspections, etc. 
  • Supports coordination with the field to help ensure that work is progressing properly and on time, aligning with WC’s expected reach.
  • Manages minor procurement processes (stationary provision, utilities, minor purchases for all project activities).
  • Updates and maintains information on computer database systems and archives. 
  • Develops, designs, and improves work methods and procedures in coordination with the supervisor.
  • Supports in collecting data to write donor reports.
  • Collects documents from the field and enters them in the database
Financial Support
  • Prepares monthly payments for staff in the field.
  • Follows up closely on monthly payments and cheque advances.
  • Keeps track and monitors the advances of partners.
  • Assist in monitoring the budget to ensure proper expenditure of each budget line.
 
  • Result: Finances are handled so field staff are paid on time and according to precise documentation.
Administrative Support 
  • Develops and maintains a filing system of partners and proper documentation of projects documents.
  • Prepares and maintains project documentation, including reports, meeting minutes, and action logs.
  • Result: Administrative tasks are handled in such a way that a filing system is in place reports are submitted on time.
Your profile
Knowledge and Experience
  • Degree in Business Administration, Project Management, finance, or related field.
  • Minimum of 2 years of administrative or project management experience, preferably in an emergency or humanitarian context.
  • Previous experience working with children/refugees/vulnerable populations.
Skills and Competencies
  • Strong organizational and multitasking skills.
  • Strong computer skills, Microsoft Office and especially Excel.
  • Ensures accuracy and quality in work deliverables.
  • Fluency in Arabic and English.

  • Location : This role is to be based in one of the following War Child country office: Lebanon. 
  • Applicants must be able to travel between Beirut and Tripoli Offices. 
  • War Child does not offer relocation.
