Your mission
Role
The Human Resources (HR) Assistant supports the smooth running of the employee life cycle by providing accurate personnel administration and HR services for War Child Alliance (WCA). The HR Assistant helps maintain HR systems and personnel files, supports onboarding processes, and ensures HR data and documentation are complete and compliant. The HR Assistant provides administrative support to the HR team, managers, and employees.
Team
The HR Assistant is part of the HR team in the People & Culture department and reports to the Director of People and Culture/ HR Advisor. The HR Assistant works closely with the HR Officer and HR Advisor for the global office, and the two HR Advisors for the Africa and Middle East region, as well as the Recruitment Consultant.
Responsibilities

The HR Assistant assists with the execution of HR processes and acts as a first point of contact for employees and managers regarding routine HR queries and systems.

What you will do:
Implement personnel administration, systems and HR policy
- Assist the HR officer in personnel administration, process changes in the workforce and managing personnel files, the personnel information system and other systems. Ensure that the personnel administration is in order and up to date;
- Support the HR Officer and the Recruitment Consultant with onboarding process, including pre-employment and pre-departure checks; ensure all necessary documents and pre-employment checks are completed in line with War Child’s recruitment guidelines;
- Ensure GDPR compliance of process of collecting, processing, and storing all employee data.
- Act as a point of contact and contact person for management and personnel with regards to the various HR systems and ensures the correct functioning;
- Manage the general HR mailbox, answer questions and distribute emails to the right focal points;
- Support HR Officer and HR Advisors with day-to-day operational support;
- Arrange and invite new employees to join onboarding trainings;
- Ensure all employees traveling for War Child are registered with our insurance providers; support the HR Officer and collaborate with the insurance provider closely for insurance claim and travel insurance certificate;
- Support the HR team with drafting employment-related documentation such as employment statement when needed
