About the role
The Senior Executive Secretariat Coordinator is the operational right hand to the CEO, acting as a force multiplier for executive decision-making for the War Child Alliance Foundation. This role drives the agenda, rigour and follow-through of the International Management Team; strengthens the connection between the CEO, International management team (IMT) and the Supervisory Board; leads or coordinates priority cross-organisational initiatives on the CEO’s behalf, and ensures effective internal communication on key organisational developments. The Sr. Executive Secretariat Coordinator operates with the judgement, discretion and credibility to represent the CEO internally and, where delegated, externally.
What you will do
- Act as thought partner and trusted advisor to the CEO, providing counsel, challenge and preparation ahead of key decisions
- Own the cadence, agenda-setting and follow-through of the International Management Team (IMT), ensuring meetings are well prepared, decisions are recorded and actions are tracked to completion
- Coordinate high-quality preparation of materials, briefings and follow-up for Supervisory Board and Board Committee meetings, working closely with the CEO and relevant IMT members
- Lead or coordinate priority cross-organisational projects and strategic initiatives delegated by the CEO, from framing through to delivery
- Maintain an overview of organisation-wide priorities, decisions and interdependencies across departments, ensuring clear ownership and follow-up
- Manage the Office of the CEO, including oversight of the Executive Officer and coordination of executive support functions
- Act as a proxy or representative for the CEO in internal meetings and, where delegated, in external engagements
- Strengthen internal communication and information flow between the CEO/IMT and the wider organisation, supporting transparency and staff engagement
- Support the effectiveness of the IMT as a team, including input on team culture, meeting design and decision-making processes
- Prepare briefing notes, talking points and correspondence for high-stakes internal and external engagements led by the CEO
